COVID-19 Adjusted Terms and conditions:

Due to the recent Coronavirus outbreak, Royal African Experiences has made special provision for amendments of bookings as follows:

  1. Amending my Booking:
  1. Guests affected by travel bans, travel advisories and flight cancellations due to the Coronavirus pandemic may postpone their booking by moving it forward up to 12 months, at the same rate booked.
  2. Should the dates of the amended booking fall in a season where higher rates are applicable, the traveller shall be responsible for payment of the difference between the season rate of the original booking and the season rate of the new booking. 
  3. Once a booking has been moved to new dates, our standard cancellation and payment terms and conditions will apply, with the following exceptions: 
  4. If an amended booking is cancelled, the guest will be charged either the cancellation fee that would have been applicable to their original dates of travel on the date of the amendment or the cancellation fee due in terms of our standard cancellation policy at the time of the cancellation, whichever is the higher. 
  5. Any deposits already paid for a booking that has subsequently been postponed will be retained by Royal African Experiences and applied towards the new dates booked.   
  6. Please note that the terms set out above are subject to availability and apply only to bookings with Royal African Experiences and not with third parties.   
  7. Bookings that are amended in terms of this policy will be moved forward on an ‘as is’ basis, with the same number of guests and the same service booked. No refunds will be given by Royal African Experiences for a change in the number of guests or service requested, or difference in seasonal rates, for any reason.
  8. Bookings can only be amended once. 

 

  1.  Cancellation of Bookings:
  1. Any outright cancellations of bookings due to the Coronavirus outbreak will carry standard Royal African Experiences cancellation fees. Cancellations of amended bookings will be charged at the rate set out in 1.iii above.
  2. Royal African Experiences reserves the right, from time to time, to amend these special terms by notifying the Guest or Agent in writing. In the event of the current pandemic being resolved earlier than anticipated, Royal African Experiences reserves the right to revoke these special terms and revert to our standard payment and cancellation terms. 

 

STANDARD TERMS & CONDITIONS

  1. In all our dealings Royal African Experiences, also may be referred to as “the company), means “Royal African Experiences Limited” a travel company headquartered in the Republic of Zambia.
  2. Unless otherwise specified, rates for our services provided by Royal African Experiences will include:
  1. Entry fees, where applicable.
  2. National Park fees, where applicable.
  3. Return road transfers from point of pick up.
  4. Services of an English-speaking tour guide who may also serve as driver.

 

  1. Unless otherwise specified, rates for our services provided by Royal African Experiences will exclude:
  1. Visa fees.
  2. Flights (international and local).
  3. Personal travel insurance.
  4. Items of a personal nature.
  5. Staff gratuities.
  6. Transfers not included in the itineraries booked.
  7. Medical evacuation services.

 

Rates and supplements:

  1. All rates are based on a per person per service booked basis unless otherwise specified. You will find specific rates for tour, safari or package concerned in the respective services listed. Single supplement may be charged for solo travellers.
  2. Private vehicles, also referred to as” private transfers” are provided to groups of 5 or more full paying adults.
  3. Private vehicles, also referred to as” private transfers” are available for smaller groups at applicable rates, subject to availability.
  4. Private guides travelling with their own guests will be required to pay for a private transfer at applicable rate, unless otherwise agreed.
  5. A private safari guide is available on request with a daily surcharge.

 

Child’s Policy:

  1. Children should be under the constant supervision of their parents as they will remain the responsibility of the parents throughout tours, safaris or events.
  1. Children 0 – 5 years (sharing with adults) enjoy tour and safari services Free of charge. Transfers, accommodation and conservation levies may still apply on some services.  
  2. Children 6 – 11 years pay 50% of adult rate for tours and safaris, while they pay 60% of the adult rate on road transfers if accompanied by at least 2 paying adults, full rate will apply if unaccompanied.
  3. Children under 12 years are accepted for family friendly excursions.
  4. If a child is in a single room, a single supplement will apply.
  5. Please note certain activities like walking safaris, mokoros and canoeing may have age restrictions at the discretion of our guides.
  6. Children 12 years and above pay 100% of adult rate.
  7. Children 16 years and older may be accepted for tours and safaris provided they hold a valid identification document.

 

Regional Policy:

  1. Please contact us for our regional specials. These specials are applicable for residents of countries in SADC and COMESA regions.

Reservations and payments:

  1.  A booking must be made with booing name, date(s) of service(s), ages of participants, Nationality and dietary needs, if any, including any other information necessary to make the service booked deliverable.
  1. All provisional reservations are held for 14 days, at which time we require a 30% non-refundable deposit to confirm your booking, otherwise the booking will expire and be released from our system.
  2. Final payment as is on the original invoice and must be received by Royal African Experiences at least 8 weeks prior to travel.
  3. No guest may travel unless we have received full pre-payment.
  4. Royal African Experiences reserves the right to accept and confirm bookings at their discretion.

 

Cancellation:

  1. Our booking conditions apply to all travel arrangements with us. Cancellation policies are as follows:
  1. A minimum of 30% of the total package cost is required as deposit at the time of confirmation of a reservation.
  2. Cancellation within 45 - 30 days prior to date of travel will incur a 30% fee of total cost of safari, tour or package.
  3. Cancellation within 29 – 15 days prior to date of travel will incur a 50% fee of total cost of safari, tour or package.
  4. Cancellation within 2 weeks of travel, as well as no shows, will incur a 100% cancellation fee of the safari, tour or package. Handling fees and liquidated damages may be charged.
  5. Exemptions to this cancellation policy may apply due to medical reasons (Medical certificate), delays in travel due to technicalities beyond control and bereavements. Any other exceptions will be authorised by the Managing Director

 

Travel Insurance:

  1. It is a requirement that guests have adequate travel insurance to cover them for unexpected medical emergencies, cancellation for medical reasons, delays or cancellations due to weather conditions as a minimum.

 

Photographs, drones and copyrights:

  1. Our safaris and tours can provide some of the most spectacular photographic opportunities.
  1. Please note that we do not allow drones at any of activities, unless with prior arrangements. Many of the areas we work in have anti-poaching patrols and drones interfere with this critical work.
  2. Most of our guides and staff are keen photographers and to enhance your experiences and enjoyment, photographs may be taken of your safari, some of which may be used for promotional purposes. Royal African Experiences and its partners reserve the right to use these images without the consent of anyone appearing in the images or photographs; however, you can be guaranteed that no photographs of a compromising nature will be used for such purposes.

Liability:

  1. National Parks and Conservation Fees may be subject to change. Royal African Experiences cannot be held liable for unexpected changes to Park Fees, and Government Tariffs.
  2. Some of the roads we drive on are rough and bumpy, guides occasionally travel “off road” and injuries can occur. Royal African Experiences, their staff members, associates or agents cannot be held liable for any accidents or any damages.
  3. Most places booked for travel are in wild and remote parts of Africa with dangerous wildlife and often harsh terrain; hence you will be exposed to potentially hazardous activities. Royal African Experiences, its associates, partners and staff will not be held liable for any injury, loss of life or damage whatsoever during and after the travel arrangements.
  4.  Royal African Experiences is committed in ensuring that your travel arrangements remain according to plan. Royal African Experiences and its partners and associates may alter, cancel or change travel arrangements at any time should they feel it justified in the interest of safety. Such changes will be communicated timeously in order for alternative arrangements to be made where necessary.
  5. It is assumed that the deposit payment and your final amount paid is because you have agreed to the terms and conditions set out by Royal African Experiences, its associates and related companies and partners and thereby will not hold liable any claim against any person or organization as a result of any changes, cancellations, damage to one’s property, injury, death and any other unforeseen occurrences whether it is due to negligence by one or more of our staff or any company.
  6.  Therefore, you have indemnified the various organizations and individuals aforementioned in any such events.

Your agreement to our terms and conditions:

  1.  Upon you or your agents or your organisation making a booking, Royal African Experiences assumes that you agree to the terms and conditions of travel, and thereby indemnify to the company, its agents, associates and employees.
